Event Coordinator Fellow

The event coordinator will be responsible for planning all logistics for multiple smaller college relations events. Additionally, the event coordinator will support the director and assistant director in large-scale college relations events focused on engagement, fundraising and stewardship. Event coordinator must have the ability to manage multiple projects at one time and work independently.

Following a format created by the director, this position will independently coordinate smaller internal college relations events such as scholarship dinners, donor-based athletic events, board meetings, dedications and small reunions. With appropriate guidance, the event coordinator will arrange for event needs and work closely with on- and off-campus vendors (including, but not limited to, linen rental companies, florists, caterers/dining services, tech services, campus police and physical plant). This position will be the primary staff member in charge of set up, take down, programming, and execution of these events.

Assist the director and assistant director of events and programming in coordinating large donor, alumni, and presidential level events, where needed. Collaborate with events and programming director and other staff to develop creative event themes and logistics.

Serve as the primary resource with regard to the publicity and advertising of events. Evaluate publicity needs on an individual event basis, reviewing and considering previously implemented methods as well as suggesting innovative ideas. Provide guidance with regard to campus calendars and student outreach. Maintain the publicity guidelines document.

With guidance from the assistant director, identify and execute long-term projects of personal interest that serve the special events and programming office and provide valuable professional experience. Other duties as assigned.

Minimum Qualifications:

Must be a recent Davidson graduate (1 or 2 years post-graduation) and show an interest in special events and a desire to pursue event coordination as a career. Valid driver’s license required.  Position requires evening and weekend work to staff/run events appropriately.

Must have proficiency in Microsoft Word, Excel and PowerPoint. Must be willing to be van certified, learn Davidson College’s data base system (Blackbaud), CAD drawing system (Visio), Adobe Illustrator and Publisher. Ideal candidate must be able to work and develop relationships with individuals with a wide range of job responsibilities and skill sets.

Varied work environment from office setting to outdoor event. Need to be able to lift 20+ pounds in order to move boxes and supplies, be able to travel quickly between locations on campus on foot or on golf cart, and willingness to be outside in various weather conditions.

Additional Information:

The event coordinator must have excellent oral and written communication skills. The coordinator must be extremely organized, highly motivated, and have the ability to remain calm in stressful situations. Must have superior attention to detail and the ability to manage a high volume of projects simultaneously and smoothly. Must also be able to solve problems as challenges arise, keeping what is best for Davidson and the event’s guests in mind. Excellent knowledge of computers, word-processing and design, is highly preferred. This person must be able to work well with the office of events and programming staff, as well as effectively communicate with numerous other campus partners and outside vendors.
