Administrative Assistant/Assistive Technology Specialist

The Administrative Assistant/Assistive Technology Specialist for the Academic Access and Disabilities Resources Office (AADR) provides direct support to the Director and Assistant Director of AADR and is responsible for a wide variety of complex administrative and office management duties in a fast-paced, collaborative, student-centered department. As an assistive technology specialist, this individual will work directly with students to provide appropriate assistive technology and accessible formats of learning materials. This is a full-time, 10 month position (August through May) .  This is a grant funded position with the likelihood of renewal by additional funds. 


Receptionist and General Office Responsibilities 

Interface with students, faculty and staff in a confidential and professional manner by phone, email and face-to-face, including the reception of individuals waiting to meet with AADR staff; provide administrative support for the various components of the AADR Office; manage the Director's and Assistant Director’s calendar; submit work orders for office maintenance; order office supplies; assist with managing AADR events by reserving spaces, arranging for set-ups, and placing catering orders; and respond to AADR staff requests for administrative support.

Assistive Technology Specialist 

Oversee the multi-faceted assistive technology program, which includes facilitating the notetaker program, managing the Livescribe loaner program; procuring for and supporting students in the use of various software programs, such as Sonocent, Read and Write Gold, Dragon Naturally Speaking, and Kurzweil; fulfilling requests for alternate formats by utilizing AccessText, BookShare, and Learning Ally and converting texts not already available; and procuring external accessibility vendors for students with sensory impairments. In addition, this individual will assist AADR staff in determining appropriate assistive technology for students and train students in the use of those technologies.

Recordkeeping and Budget 

Support AADR staff with maintaining records for the AADR Office, including data related to the various components and functions of the office; attendance at events; and confidential student records; including OnBase and Banner database files, Excel spreadsheets, and disability documentation. This individual will also aid the Director in tracking AADR budgets, dialoguing with the Controller's office, paying invoices, contacting vendors and on-campus services, and assisting with management of the Corporate Card. 

Collaborative Coordination and Communication 

The AADR Office is a collaborative effort that involves AADR’s student advocacy group (LEAD), the Center for Teaching and Learning (CTL), the Library, the Dean of Students Office, and other faculty and staff. This individual will assist AADR in communicating vital information to our partners and in coordinating workshops, programs and speakers for the AADR, CTL, and LEAD, as requested. In addition, this individual is responsible for maintaining the AADR webpage and related pages of the college’s website.

Work Study Student Supervisor 

Supervise work study students by delegating duties and overseeing and approving student time sheets.

Required Qualifications

Experience with computers and technology, including Microsoft Office.  The individual should be familiar with budget management and other office support skills.

Associate’s degree and a minimum of two years related experience.

Outstanding interpersonal skills and ability to relate well to a diverse constituency, particularly students with disabilities. Ability to react appropriately in crisis situations.

Self-starter, shows initiative, creative, resourceful, high level of competency.

Flexible and open to new responsibilities as AADR responds to new student needs.

Preferred Qualifications

Two years minimum experience in an administrative assistant position in a postsecondary institution, medical office, counseling office, or vocational rehabilitation office.

Experience working with secondary and/or postsecondary students who have disabilities, including an understanding of disability laws, academic accommodations, or assistive technology.

Experience with both Mac and PC operating systems and data management systems, such as Banner or Datatel Colleague.

Bachelor’s degree from an accredited college or university in a relevant field.
