This is a Fellow's position and available to a recent Davidson graduate (1 or 2 years post-graduation).
The virtual and in-person event coordinator will be responsible for planning all logistics for multiple smaller college relations events both virtually and in-person. Additionally, the event coordinator will support the director and assistant director in large-scale college relations events focused on engagement, fundraising and stewardship.
While the college continues to hold all events virtually, this position will coordinate smaller College Relations virtual events using Zoom, OBS, vMix and other software programs that serve as a platform for producing virtual events. Once the college resumes in-person events, this position will transition to independently plan small College Relations events. With the appropriate guidance, the coordinator will arrange for event needs and work closely with on- and off-campus vendors (including, but not limited to, linen rental companies, florists, caterers/dining services, tech services, campus police and physical plant). This position will be the primary staff member in charge of set up, take down, programming, and execution of events assigned to them. Event coordinator must have the ability to manage multiple projects at one time and work independently.
Create digital designs using Microsoft Office software for virtual and in-person events such as opening/closing slideshows, digital and print invitations, menus, etc. Interest in learning how to use Adobe Creative Software to create introduction videos and post-event video editing for virtual events is preferred.
Assist the Director and Associate Director of Events and Programming in coordinating large donor, alumni, and presidential level events, where needed. Collaborate with Events & Programming team to develop creative event themes and logistics, including the implementation of virtual broadcasting to off-campus attendees for hybrid events (in-person & virtual).
Serve as lead for advertising large events by creating and maintaining publicity using the campus scheduling program, EMS. Evaluate publicity needs on an individual event basis with a focus on how to best engage all audiences for our events. Provide guidance with regard to campus calendars and student outreach. Maintain the publicity guidelines document.
Ability to learn and use Blackbaud & CRM programs as is relevant to the staff assistant position. Creating events, registrations pages, sending emails and maintaining lists of registrants in order to serve as backup for staff assistant.
With guidance from the assistant director, identify and execute long-term projects of personal interest that serve the special events and programming office and provide a valuable professional experience.
Must be a recent Davidson graduate (1 or 2 years post-graduation) and show an interest in special events and a desire to pursue event coordination as a career. Valid driver’s license required. Position requires evening and weekend work to staff/run events appropriately.
