To perform a wide variety of complex and responsible administrative and office assistant duties in support of management and administrative support staff in fast-paced, collaborative, student-centered and learning-centered department.
Responsibilities:
Office Reception – including in-person customer service, answering phones, managing mail, filing various paperwork, monitoring calendars, ordering supplies and food, routine correspondence, proofreading, reserving rooms, managing the loan key and lock-out process, and additional tasks.
Work Orders Assistance – in conjunction with the Coordinator for Budgets and Facilities, processing, monitoring, tracking and reporting student and professional staff work order. Serve as front-line response to the RLO work order process.
Budget and Fiscal Assistance – Pay bills, process accounts payable vouchers and travel and reimbursement requests and student payroll.
Housing Assignments Process Assistance – in conjunction with the Housing Assignments Coordinator, prepare for and support first-year resident assignments, manage complex database and file folders, score inventory and process roommate preference cards, and answer questions pertaining to the housing selection process.
Requirements:
High school diploma or GED; Valid driver's license; Minimum of one year of responsible secretarial, clerical, and administrative experience. Ability to perform responsible and complex work involving the use of independent judgment and personal initiative, communicate clearly and concisely, and operate a variety of office equipment. Computer skills including Microsoft Office Suite required, basic mathematical skills and budget management and reconciliation essential. Work independently in the absence of supervision. Establish and maintain effective working relationships with other campus departments.
Prefer a Bachelor's degree; Previous experience working with college students. Experience with Banner and Maximo.
