An Event Reservations Administrator is needed to assist with providing oversight of the Switchboard Operation and Information Desk and manage the College’s EMS (Event Management System) - the College-wide scheduling process.  This position will also assist with training users on both the Client and the Web App versions of the software.


Approve use of meeting rooms, event venues, and reserve conference rooms, and classrooms for College events, as well as for outside rental events. This involves detailed communication and coordination with the Physical Plant, Tech Services, Catering, and Operations.

Assist with supervising and managing the Switchboard and Information Desk Services operations at the College Union Information Desk. Fill in when employees are not able to come to work.

Guide event planners in planning the details of successful events, including selecting good event times and locations, arrangement of tech services, event set-ups and coordination with the Physical Plant and catering.

Lead daily and weekly printed reports for Operations and Technical Staff and meet weekly with the staff to coordinate the production schedule for events. Develop and implement a SPECC calendar include major college dates—the academic calendar, religious holiday schedule, orientation, homecoming, Admissions weekends, family weekend, MLK Jr Day, reunion weekend, artist series performances, theatre department dates, music department dates and major public lectures. Meet monthly with the college's EMS Team to collaborate with others on technology, the master calendar, and other EMS issues/updates.



Bachelor's degree. Experience may substitute some of the education.

Minimum 3 years work experience in event management, student advising, intermediate computer skills, and customer service.

Technology skills are required to provide leadership with EMS, including the College Calendar. Unusual skills in communication, organization and customer service are required. A successful person in this position needs to have a good understanding of the College and needs to be capable of communicating with students, faculty, and staff who plan events. This staff member needs to be the campus expert with the Event Management System.
