Digital Event Fellow - Position description 

Position Summary:

The Office of Events and Programming is seeking a tech savvy, highly motivated, strong learner to join our team as the first Event Digital Fellow. This position will have many opportunities for on-the-job-learning of diverse skills and expertises, including graphic design, event best practices, and the quickly changing environment of virtual and hybrid events. As skills are mastered, the person in this role will take on full production of events, including liaising with hosts and vendors, developing visual materials, and communicating with guests. The person in this position will also collaborate with the entire event team to create the foundation of this position,  support large-scale hybrid events, in-person events as needed. This fellow will work under the supervision of the digital event manager and will be instrumental in building and documenting processes and policies for this new role.


What you’ll be doing? Digital Event Fellow Responsibilities:

  • This position reports to the Digital Events Manager and works with the events team to produce virtual and hybrid/live streaming events from concept to post-production.

  • Independently run digital events by using various platforms like Zoom Meeting, Zoom Webinar, and YouTube.    

  • In addition to independently managing events, this person will collaborate closely with other members of the event team for multi-team events.

  • Work with the host office to establish program messaging, timing, and flow to meet the goal of the event.

  • Work directly with internal and external event presenters to ensure they are knowledgeable and comfortable with the event flow, that they have the needed audio and video technologies and know how to use them, and that they feel supported in the event of technical difficulties.  

  • Create digital content for virtual and hybrid events, including opening/closing slides, lower third titles, PowerPoint presentations, and introduction videos.

  • Manage vendor relationships on behalf of the department, ensuring that our vendors continue to be competitive and reliable.

  • Manage event budgets and research new technologies to make purchase proposals as needed.

  • Set up video camera configurations to ensure correct camera positions and settings based on each individual event. Independently solve problems as technical issues arise.  

  • With the team, build out a video production booth to include hybrid computer equipment, running cables to in-house audio/video equipment and establishing a proper connection.

  • Work with key campus partners from Tech Services, Technology and Innovation, and College Communications to produce virtual events.

  • Manages virtual event equipment inventory and storage.

  • Create event communications via college database and software (Blackbaud CRM)  for all virtual and hybrid events you manage. Tasks associated with event communications include creating online registration forms, event invitations and reminders.

  • Work with the events team with other in-person event needs as possible. 


What do you bring to the table?

Minimum Qualifications

  • Bachelor's degree. Must be a current Davidson senior who will graduate in the spring or a recent graduate who has been out of school for no more than two years and show an interest in virtual events, video production, and/or technology as a career. 

  • Tech savvy individual with the ability to learn new technologies and skills quickly

  • Eager to learn and open to receiving and implementing feedback for continued growth.

  • Eager to take on responsibility and able to serve as an independent leader once confident in their skills.

  • Detail focused, results-driven, and accountable with the ability to handle high pressure last-minute, urgent requests. Detail oriented in a fast paced environment. 

  • A commitment to a high quality experience for our event attendees.

  • Familiarity and comfort with both Microsoft Office Suite and the Google equivalents.

  • Position requires evening and weekend work to staff/run events appropriately. 

  • Strong internal and external customer service

  • Organized, highly motivated, and have the ability to remain calm in stressful situations. 

  • Possesses a “can-do” attitude, self-starter and take initiative with new projects

  • Demonstrates critical thinking skills and  solution-orientation approach to challenge.

  • Ability to communicate clearly, both verbally and written. Strong writing and proofreading skills.   

  • This person must be able to work well with the Office of Events and Programming staff, as well as effectively communicate with numerous other campus partners and outside vendors.

  • Valid driver’s license required.


Desired Skills & Abilities

  • Interested in online event management.

  • Innovative problem solver.

  • Basic knowledge of or a desire to learn Adobe creative programs such as Photoshop, Premiere, InDesign, Illustrator, Publisher, and mass email systems (with HTML).

  • Entry level graphic design skills. 

  • Familiarity with Zoom meeting. 

  • Basic knowledge of event audio/video equipment and functionality.  Training on the college’s software systems will be provided.

Flexible Work Location

Davidson College Relations has a flexible work location program in line with the college’s telecommuting policy. This position is eligible for partial flexibility in work location, during non-event days, as determined with the position’s manager and reviewed regularly through our performance management processes. Candidates should expect to maintain a residence within commuting distance of the Charlotte-metro area. An initial campus orientation period (of several weeks to months) worked from the office may be required. This policy is reviewed periodically.
