An Administrative Assistant is needed to perform administrative/secretarial duties for the Campus Police Department. With delegated authority, performs duties and/or provides and coordinates administrative support functions of a substantive, professional nature.
Answers the phone and greets public for emergency and non-emergency requests for services. Screen office and telephone callers; respond to complaints and requests for information on procedures, systems and events relating to responsibilities assigned.
Prioritizes dispatches to the appropriate officer through available communication, assigns case numbers, processes, and maintains investigative case files, complaints, citation, and reports on a daily basis; and indexes and maintains all related form files. Assist with property and evidence management.
Secretarial duties for parking enforcement, correspondence to citizens regarding parking tickets, monthly billing of parking registration, and tracking statistics for quarterly report.
Retrieves and distributes incoming and outgoing correspondence on a daily basis. Monitors officer supplies and equipment; orders as approved by the Chief of Campus Police.
Assigns, tracks, and completes purchase orders for approval; prepares and types monthly vouchers for payment; maintains ledger books and keeps accurate records of department’s budget.
Assists Chief of Campus Police in researching data for yearly budget preparations and any other Essential projects assigned by the Chief or Administrative manager.
HS Diploma and three years experience in the administrative field or equivalent, organizational skills,
bookkeeping and knowledgeable of computer software commensurate of law enforcement use also preferred. Current notary or ability to obtain notary status within six months.
Must be able to type fifty-five (55) net words per minute, working with little or no supervision, maintaining confidentiality at all times, use of peripheral office equipment and computer software, and maintaining impartiality and composure when dealing with upset or verbally abusive complainants.
